How to securely share documents with the project participants or external parties

Our platform allows flexible, secure sharing of your documents with both invited users and external parties while keeping you in full control at all times. You decide who can view, download, or sign documents, and you can adjust or revoke access whenever required. Below you may find a brief overview of available sharing options.

With project participants

For invited users, the following options are available under the Share item in the document context menu:

  • Manage permissions: adjust which user groups can access the selected document and define their level of access.

  • Request signature: send the document to specific participants for e‑signature so they can securely review and sign it without leaving the project.

  • Send notifications: email selected project participants about the new documents or changes to them, including direct links to relevant items.

With external users

External links allow administrators to share selected files securely with people who are not invited to the project. Access can be controlled through link settings such as expiration dates, download permissions, watermarks, and activity notifications. Links can be edited, disabled, or copied at any time.

Copying document links

You can quickly copy the appropriate document link depending on who you want to share it with. In the document context menu, go to Copy link to choose:

  • Internal access: a link for use inside the project, available only to invited participants according to their current document permissions.

  • External sharing: an external link for stakeholders outside the project, where access is defined by that link’s individual settings.
