The Documents overview report provides room administrators with detailed insights into user engagement with documents within a project. This report is crucial for analyzing how much time users or groups spend viewing specific documents and pages, offering valuable information that helps improve project outcomes by understanding user behavior.
This feature is available to all subscription plans
How to access the Documents overview report
1. Navigate to Reports in the side panel and select Documents overview.
2. The report will open, showing the overview for the root folder of the project by default.
Available Views
Folder view
Displays viewing statistics for all documents within a folder, including subfolders.
By default, the root folder is selected, summarizing the total viewing time of all documents in the folder.
Important: This is the only available view on mobile web browsers.
Document view
Displays viewing statistics for a specific document, tracking how long users engage with individual pages.
Available only on desktop; mobile web browsers do not support this view.
Available report sections
Date picker
Choose a date range: a single day, past week, past month, or custom period. By default, the report shows all time data.
Overview on
Select users or groups to analyze engagement. Both active and inactive groups can be selected.
Top 10 Files (Folder View)
View and sort the top 10 documents in a folder by most viewed, recently viewed, or least viewed. You can hide this section by clicking Hide top 10 files or display it by clicking Show top 10 files.
Pages (Document View)
List and sort document pages by viewing time, available only in document view.
Summary
For folders: Summarizes total viewing time, average time per document, total views, and participants engaged.
For documents: Summarizes pages viewed, most viewed pages, total views, and participants engaged.
Dynamics of viewing time
Shows trends in viewing time, helping identify engagement patterns over a specified period.
Participants
Lists users or groups who accessed the documents, including their views, viewing time, and last viewed time.
How to use the report
1. Open the Documents overview report
Navigate to Reports and select Documents Overview.
2. Select Files or Folder
Choose a folder or a specific document in the Files and Folders section.
3. Select the time period
Use the date picker to specify the desired reporting period.
4. Select User or Group
In the "Overview On" section, choose a specific user or group for analysis.
5. Choose sorting method
Sort documents or pages by most viewed, recently viewed, or least viewed.
6. Review data
Analyze viewing times, participant engagement, and other metrics for the selected folder or document.
7. Export the Report
Click the Export button to download the report or send it via email. Note that exporting is unavailable on mobile browsers.
8. Subscribe
Follow instructions for subscribing to the report. Subscriptions are not available on mobile browsers.
