Viewing documents as another group

Review the list of documents and actions available to different user groups from their point of view

View as is a quick and easy way to verify which documents are available to a specific user group from their perspective.

💡 This functionality is available to project administrators only.

To check permitted documents, click the View as button in the top-right corner and select a group you'd like to review.

In the opened window, you can search by group name and user email or name. Keep in mind that you can select one user group at a time.

Once selected, you can view the list of documents and actions available to this group, browse through the documents tree, and check the level of permission given to each folder or file.

💡 Only the actions available to the selected group are shown on the top panel and in the context menu of documents. Any actions with documents are performed from the perspective of the current administrator and are logged in reports accordingly.

Additionally, you can export the project index from the viewpoint of the selected user group.

⚠️ If you open a document for viewing, it will be opened from your point of view and not as a selected group.

While viewing as a different group, the system will remind you whom you are viewing as with a banner message. This is helpful if you're setting up and checking multiple permissions at once.

To select another user group for review, click the currently selected group on the "Viewing documents as" banner.

To quit the "View as" mode and go back to your view, just click the cross sign within the banner.

When viewing documents as another group, keep in mind the following peculiarities.

  • Q&A attachments are not displayed in the "View as" mode, as their availability depends on specific user access to the Q&A section.

  • When downloading folders, all their subitems are included as available for the administrator.

  • When moving or copying documents, they will automatically inherit permissions from the destination folder.

  • The "Viewed on" column presents information for the current administrator, not a selected group.

  • You can see your Quick access items but filtered by visibility for a selected group.

  • Only administrative notes to documents are displayed.
