Available roles in the Q&A workflow and what are their capabilities

The Q&A role defines what a user can do and see in the Q&A section. During the Q&A setup, project administrators can select which roles should be included in their Q&A workflow depending on their project requirements.

Below you may find a brief summary of each of the available Q&A roles:

Question drafter

What they can do

What they can see

  • Draft questions, which are routed to question submitters within their question team for further review and submission.

  • Edit drafted questions.

  • Drafted questions by them and their question team members.

  • Submitted questions by their team.

  • Answers to the questions submitted by their team.

  • FAQ.

Question submitter

What they can do

What they can see

  • Submit questions to the answer side, which are routed from question drafters.

  • Draft questions by themselves.

  • Edit proposed questions before submission.

  • Delete proposed questions.

  • Ask follow-up questions.

  • Drafted questions by them and their question team members.

  • Submitted questions by their team.

  • Answers to the questions submitted by their team.

  • FAQ.

Answer coordinator

What they can do

What they can see

  • Answer submitted questions.

  • Assign questions to experts and reassign if needed.

  • Review experts’ answers and use them for submission.

  • Edit rejected and submitted answers.

  • Create new questions on behalf of the selected question team.

  • Create FAQ.

  • Change question priority and category.

  • Leave comments in threads.

  • Close and reopen questions.

  • Delete questions (the whole thread).

  • Submitted questions by the question teams.

  • Questions assigned to experts.

  • Proposed answers.

  • Answers awaiting approval.

  • Rejected answers with comments from the Answer approver.

  • All comments from experts, approvers, or coordinators.

  • Follow-up questions.

  • Activity log of any question.

  • FAQ.

Expert

What they can do

  • View and propose answers to assigned questions.

  • Leave comments visible to other experts and answer coordinators.

  • All messages in the threads that are assigned to them.

  • All answers they provided.

Answer approver

What they can do

What they can see

  • Approve answer submission to the question team

  • Reject proposed answers with comments to the Answer coordinator.

All messages in the threads that are sent for their approval.

💡 Answer approver role is available with the Enterprise subscription only.

Users with any Q&A role can also export questions that are available to them according to their role and team.
