You may prompt your users to accept your company's terms of use before proceeding to the data room.
To apply custom terms of use, click Settings in the left panel. In the Project tab opened by default, navigate to Terms of use.
To get started, click Create new terms. This brings you to a new page where you can create and edit your new terms of use.
Title of terms of use
From the dropdown, select the appropriate option for your new terms of use.
Administrators have the following title options available to use:
NDA
Terms and conditions of access
Confidentiality agreement
Disclaimer
Custom title
Display terms of use
Here you can decide when the users should accept the terms:
On first sign-in: the users will accept the terms before signing in to the project for the first time.
On each sign-in: the users will accept the terms prior to each sign-in to the project.
💡 In case you select the option "On first sign-in", the users will be offered to accept the terms of use each time its text is updated by the administrator.
Assigned groups
Here you can assign specific terms to selected groups as you require. Click the dropdown and select the groups from the list.
💡 Each group can have only one active agreement at one time.
Terms content
The editor is a quick and easy-to-use word processor that allows administrators to effortlessly amend terms as they see fit. Here you can add your text and edit it using various formatting options.
Tags for terms
Tags are a quick and easy way to customize your project's terms of use. When editing the terms, press “/” to see a dropdown list of helpful tags.
The list of tags is as follows:
First name
Last name
Full name
Company
Email
Date
These values will be replaced with the relevant information for each participant upon signing in to the project.
Preview and editing terms
Once you've created the terms of use, you can review how the assigned groups will see them and make edits if needed.
Hover over the specific terms of use in the list and click Preview to open it in preview mode. If changes are needed, click the pencil icon to open terms of use in the editing mode.
💡 Participants will need to accept the terms after each time the administrator updates its text.
Downloading terms of use
Project administrators can download every accepted terms of use in PDF format. For this, navigate to the Terms of use tab and click Download accepted terms.
To download the accepted terms of use, hover over the needed title and click the Download button.
Use the following filters to refine your search:
Click the All dropdown to select the relevant terms of use by title.
Click the All users dropdown to select a group or individual participant. You can also use the search bar to quickly locate specific users.
The downloaded terms of use will include:
Title
Full text of the terms of use
Participant's full name, email, and company
Date of acceptance
Reports and terms of use
Project administrators can track which text was applied and when in Reports by reviewing the Activity log.
You will find the relevant information under the Action and Description columns. This allows administrators to track who accepted the terms and includes its publication date.
