Project dashboard overview

Learn all about how to track participant activity, document engagement, and Q&A activity in your project

The dashboard is the entry point of your project, giving you a quick overview of what's happening so you can decide what needs your attention. It's organized into three tabs: Activity, Documents, and Q&A, each with its own KPIs, charts, and tables.

Getting to your dashboard

To open your dashboard, select Dashboard from the left panel.

Your dashboard has three tabs:

  • Activity: participant sign-ins, engagement, and file access

  • Documents: file and folder health, storage, and permissions

  • Q&A: question and answer activity

💡 Your last-used tab and its filters are remembered for the length of your browser session, so you don't have to reapply the same filters every time you come back.

Activity tab

The Activity tab shows participant sign-ins, engagement, and file access since your project was created.

By default, only user (non-admin, non-custom) groups are selected in the group filter. Select the group filter to change which groups are included — every number and chart on the tab updates to match.

Overview KPI cards

Four cards summarize activity at a glance, all measured since your project's creation date (shown next to the section heading, along with the number of days since creation):

  • Total sign-ins: total number of sign-ins. Shows a 📈 and +X if there were new sign-ins in the last 7 days.

  • Signed-in participants: X of Y (Z%):

    • X = participants who've signed in

    • Y = all participants in every status (including deactivated and deleted).

  • Accessed files: X of Y (Z%)

    • X = unique files accessed

    • Y = all unique files available to the selected groups.

Select any card to open a side panel with the full breakdown (see Side panels below).

Participants

Shows every participant in the selected groups, broken down by status:

  • Invited: hasn't signed in yet

  • Signed-in: has signed in at least once

  • Engaged: has signed in and accessed at least one file

  • Deactivated: has no access (can be for groups setup but access not yet granted)

  • Deleted: removed from the project

Hover over a segment of the bar for the exact count (e.g. 13 participants engaged). Select the link icon to open the Participants page.

Unique files accessed

One bar per group, showing what portion of available files that group has accessed:

  • Green = accessed,

  • Gray = available but not accessed

  • The percentage above each bar is accessed ÷ available

  • A dashed line marks the total file count in the project (including the Recycle bin and Q&A attachments)

  • Deactivated and deleted groups appear muted, with a tooltip

💡 Hover How is this calculated?
One file counts once, however often it's accessed; the bar is everything the group can see; the gap to the dashed line is what they can't see.

Select the link icon to open the Engagement matrix. Select a bar to open the accessed files side panel for that group.

Group engagement by

File actions

  • Stacked bar per group: Views, Downloads, and Prints

  • Toggle to "Daily trend" to see the same breakdown per date instead of per group

💡 This counts every action, not unique files — a file viewed then downloaded counts in both segments, including repeats. Includes the Recycle bin, Q&A, and fully deleted files.

Sign-ins

Paired bars per group: sign-ins in the selected period vs. total since project creation

Viewing time

One bar per group: total time spent viewing files (including views under 10 seconds), with a dashed average line

💡 Viewing time means the time users spent reading files in the online browser viewer. Not counted: downloads and previews closed within 3 seconds.

Select the link icon on any of these charts to open the corresponding side panel or log.

Participants by activity table

Ranks groups (and, expanded, individual participants) by:

  • Signed-in: X/Y signed-in vs. total

  • Sign-ins: total count, with a 📈 +X if there were new ones in the last 7 days

  • Last sign-in: relative time, aging into an absolute date/time

  • Viewing time

  • Accessed / permitted files: X/Y (Z%), with 📈 +X for newly accessed files

Select the arrow next to a group to expand it and see individual participants with the same columns. Select the customize columns icon to show, hide, or reorder columns (Group and Signed-in can't be hidden). Select any column header to sort, the default sort is Last sign-in. Deactivated and deleted participants always sort to the bottom of their group.

Side panels

Selecting a KPI card, chart, or table row opens a side panel with more detail. All side panels share a similar shape:

  • A title and short description (e.g. "1,847 sign-ins since project creation")

  • A list: of groups, participants, files, or individual events, depending on the panel

  • An Export icon (exports the underlying data, filtered to match what's open)

  • A view in new tab icon (opens the full report, such as Activity log, Engagement matrix, Documents overview, or Participants page. All filtered the same way)

  • A Close icon

Selecting a group or participant within a side panel narrows the same panel down to just that group/participant, with a back button to return.

Specific side panels:

- Total sign-ins — list of groups by sign-in count; selecting a group narrows to that group's individual sign-in events

- Signed-in participants — tabs for Not signed-in / Signed-in

- Participants funnel (Invited / Signed-in / Engaged / Deactivated / Deleted) — one side panel per status

- Accessed files — tabs for Not accessed / Accessed

- File actions — tabs for Views / Downloads / Prints, each showing a chronological list of individual events (file name, timestamp, participant, viewing time)

- Viewing time — list of participants by time spent, with an average shown in the description

Taking action on a group, participant, or file

Within any table or side panel, select the ⋯ icon next to a row to open a menu.

The options depend on what the row represents:

For groups and participants:

  • Open group settings (or Open user settings)

  • View activity log

  • View documents overview

  • View engagement matrix

  • View permissions log

For files (varies slightly by context):

  • View

  • Open in documents

  • Publish / Unpublish (Documents tab, Publishing panel only)

  • View activity log

  • View documents overview

  • View engagement matrix

  • View permissions log

Exporting to PDF or PowerPoint

Select Export (top-right of the Activity tab) to open the export flow:

  • File format: Presentation (PPTX, default) or PDF

  • Groups to include: a dropdown of currently-selected groups; the top 6 (by whatever you rank by) are shown individually, the rest are combined into an "Other" group

  • Rank groups by:

    • Total sign-ins (default),

    • Views/Downloads/Prints,

    • Last sign-in

  • Metrics included (fixed):

    • Total sign-ins

    • Signed-in users

    • Accessed files

    • Last sign-in

    • Viewing time

    • Views/Downloads/Prints

  • Logo: optional upload (PNG, JPG, or SVG, up to 1 MB), appears on every slide

A live preview of both slides updates as you adjust these options. The export produces two slides/pages: a summary table of all metrics per group, and a pair of charts (unique accessed files, and non-unique file actions) for up to 6 groups. The remaining groups are amalgamated into the final visible group of the chart.

Documents tab

The Documents tab shows the health, storage, and permissions status of your project's files and folders.

A folder filter lets you scope everything on the tab to one folder and its subfolders (hidden entirely if your project has no subfolders). Selecting a folder updates the KPI cards, Overview, Summary, and table together; the Signatures KPI always reflects the whole project regardless of folder selection.

KPI cards

Five cards, each opening a side panel with two tabs when selected:

  • Permissions: Not assigned (no group has permission) / Not accessed (permitted but never opened)

  • Publishing: Unpublished / Published

  • Clean up: Empty (folders with no files) / Duplicated (same name, format, and size across folders)

  • Redaction: Drafted / Redacted

  • Signatures: Pending / Signed (always reflects the whole project)

Each side panel shows the relevant file list, with an appropriate empty state when there's nothing to show (see "When there's no data yet" below).

Actions available per file vary by panel:

Permissions, Clean up: View, Open in documents, View activity log, View documents overview, View engagement matrix, View permissions log

Publishing: same, plus Publish / Unpublish

Redaction: View, Open in documents, and the same four "View..." log links (no publish action)

Signatures: View and Download (Signed tab); View, Send reminder, Cancel, and Delete (Pending tab)

If publishing is disabled at the project level, the Publishing card is hidden entirely.

Overview

Three summary rows, each linking to a filtered view:

Project index: folder and file counts (excludes the Recycle bin)

Q&A attachments: file count (hidden if Q&A isn't enabled)

Recycle bin: folder and file counts

Summary

A donut chart of total storage broken down by file type (Spreadsheets, Documents, Video, PDF, Presentations, Images, and so on), with a toggle between MB and GB. Selecting a file type or the Recycle bin opens the files table filtered accordingly.

Hover on a segment of the chart to view details on the file type.

Files and folders table

Shows your project index (folders and files, including Q&A, excluding the Recycle bin and deleted items), with columns:

  • Index, Name, Type, Size

  • Actions: combined Views + Downloads + Prints, with a tooltip breaking out each type and the total

  • Last activity: most recent access

Default view shows folders, sorted by size (largest first), with Include subitems switched on.

Turning off Include subitems hides the folder count column and limits the Actions total to that folder's own files, not its subfolders. Select the customize columns icon to adjust which columns show.

You can change between viewing folders and files in the top left corner of the table.

Select Export (top-right) to export the underlying data as XLSX. This proxies to the Project index, Data storage report, Engagement matrix, or Permissions report depending on context.

Q&A tab

The Q&A tab aggregates data on all Q&A activity within your project. It helps administrators identify areas that require attention, such as bottlenecks where many questions remain unanswered.

The tab is visible to all project administrators, even if they don't have access to the Q&A section. It is available only for projects where Q&A is enabled and there is no date picker is available for this tab.

Questions overview

Displays the total number of questions and their statuses since Q&A was enabled in the project.


Statuses are consistent across all widgets and the Question teams table:

Frequently asked questions

This section helps administrators identify where questions are accumulating and where action may be required.

Summary

Highlights the most active question teams and shows how their questions are distributed across statuses.

Both active and deleted teams are included, deleted teams are displayed in a lighter color (gray).

Use the dropdown to switch between viewing by Question teams or Categories.
Hover over the chart to view detailed counts.

Linked documents table

Lists files and folders linked to Q&A questions. (Attachments added directly to questions are not included.)

Columns:

  • Index – file or folder index (hidden if Automatic document indexing is off)

  • Name – file or folder name

  • Questions – number of questions linked to the file or folder

You can switch the view between Files and Folders.
Click a column header to sort, or click a file or folder name to open its location.

Question teams / Categories table

Shows how questions are progressing across each team (or category, when selected).

Both active and deleted teams are displayed - deleted teams appear in gray.

Columns (left to right):

  • Total – sum of all questions (Submitted + Processing + Answered + Closed)

  • Submitted, Processing, Answered, Closed – each cell shows both the count and the percentage of that team's total (e.g., 7 (28%)).

  • Attachments – number of linked files visible to the user in Q&A.

Each team row also includes a Last session line, showing when the team was last active. Click any column name to sort the table.

Export

Click Export to download an XLSX report that mirrors the Q&A dashboard tables.

The file includes two worksheets:

  • Q&A summary (teams)

  • Q&A summary (categories)

You can choose which groups to include before exporting.
Data is aggregated according to your selection.

XLSX content includes:

  • Question team / Category

  • Total (Submitted + Processing + Answered + Closed)

  • Follow-up (count)

  • Submitted

  • Processing

  • Answered

  • Closed

  • Attachments (count)

  • Last session (UTC, teams summary only)

The report contains data from the entire project lifecycle since creation.

Activity log entry

Within the Activity log, you will find each export logged under Reports → Report exporting.
