Learn how to download all documents and export reports before closing your project or at any stage of the deal

💡 Recommended: The fastest and easiest way to back up your project contents is with our Downloadable archive feature. The system generates a password-protected ZIP archive, available for download to you and selected project participants for 30 days. It even supports solutions for any long path issues.

As well as our Downloadable archive feature, at any stage of your project or upon closure, Ideals can provide you with the encrypted USB archive. This contains all project documents and additional data and reports of your choice.

If you do not need the USB drives, you may back up all the information yourself, either using the Downloading archive feature or manually – this is explained below.

Downloading the documents

To download all project documents, select a root folder (project name) in the document tree, and click Download on the top panel. You can also select specific folders in the list and download them separately. A ZIP-archive will be downloaded to your computer.

  • Files from the Q&A attachments folder must be downloaded separately.

  • If you need to download the documents from the recycle bin, they should be restored to your folder structure.

Downloading the reports

Any report in the data room can be exported in a detailed Excel file.

To export a report, go to Reports, select the activity you're interested in, and click Export to download it.

Besides the activity reports, you may also export:

  • The project index, showing the current folder structure and documents available in the project.

  • List of participants: click Export in the Participants tab.

  • Q&A discussions, which are available in the Q&A section. Just click on the Export button and choose whether you'd like to export all discussions or selected/filtered questions.
