How to place a USB archive order and get an encrypted USB drive with your project contents

At any stage of your project, you can order a USB archive with the project contents.

To place an order, go to the Project archiving tab. In this menu, navigate to the USB archive section, click Place order, and follow the steps described below.

Choose archive contents

There are 3 available options: Documents and reports, Only documents, and Custom.

You can add up to 3 archives with different sets of contents per order. Also, to help you differentiate archives, you can name them as you'd like.

💡 Project index is included in all archives by default, and contains the list of documents corresponding to the selected option.

Documents and reports

By default, this archive type includes all project documents and additional reports on permissions, activity log, and participants.


Optionally, you can include the recycle bin contents, and Q&A discussions and attachments.

ℹ️ Recycle bin is available only if it is not empty. And Q&A contents are available only for projects with enabled and set up Q&A.

Only documents

By default, this archive type includes all project documents without additional reports.

Optionally, you can include recycle bin contents.

ℹ️ Recycle bin is available only if it is not empty.

Custom

This option allows you to select what documents and reports should be included in the archive. There are 3 options:

Available to user group

  • Only documents that are permitted to the selected user group.

ℹ️ ​The list contains both active and deactivated user groups. Deleted groups, administrator and custom groups are not available. Learn more about user roles.

  • Optionally, additional reports and data: activity log, user list, permissions, and Q&A discussions and attachments.

You can also preview the list of available documents for the selected group.

Selected folders

  • Specific folders that should be included in the archive.

  • Optionally, additional reports and data: user list, recycle bin, and Q&A discussions and attachments.

All documents

  • All project documents are included.

  • Optionally, additional reports and data: activity log, user list, permissions, recycle bin, and Q&A discussions and attachments.

💡 All reports contain the data only on the selected group or folders.

If there is at least one document with the applied redactions in the project, you can select whether to show or hide the redacted content.

Add recipients

There are 2 sections on this step:

  • Archives: select which archives should be delivered to the recipient, and how many USB drives with each archive.

  • Delivery details:

    • Email that will be used to provide the password to decrypt the USB drive. You can also select a project participant from the suggested list.

    • Phone number by which the courier service can contact the recipient if needed.

    • Full name of the recipient.

    • Company name of the recipient.

    • Complete delivery details, including country, city, postal or ZIP code, street, building (office), and any other important details for the delivery service.

You can add as many recipients as needed, and select multiple archives for each one.

💡 Recipient details are also used to prepare the USB drive certificates confirming the provided contents and who's the recipient of the corresponding archives.

Decide how to record documents with long paths

In case the project contains documents with long paths, you will see an additional step – Long paths.

To ensure that recipients can successfully work with the archive, you will need to decide how to record such documents, depending on the target operating system.

Review and confirm your order

At this stage, you get an overview of all previously selected archive preferences and corresponding delivery details. If you need to adjust any order details, click Back. All previously filled-out data is saved and can be edited if required.

Once you review all the details, click Place order. The email confirmation with all order details will be sent to you and the Ideals team for processing.

Preparation terms

It takes up to 24-48 hours to prepare USB drives.

These preparation terms are valid for archives up to 64 GB and may be extended in case of larger volumes. The delivery terms are not included.

Delivery terms

  • We deliver worldwide using international courier services such as DHL or FedEx, depending on the region.

  • The delivery time solely depends on the destination country. The estimated delivery date to the selected country will be shown on the order form and is based on standard courier delivery terms.

  • Shipments are processed from Monday to Friday according to the operating hours of the courier services.

Ideals team is doing their best to reduce the preparation period for every single order, yet we cannot guarantee the delivery terms. Contact the Support Team to get a more precise ETA based on your order requirements.

USB archive for closed project

If you need to place a USB archive order for a closed project, check the confirmation email about closure. It contains a link to the USB archive order form. If you no longer have it, contact the support team for further assistance.

To obtain a certificate from Ideals that guarantees the content provided as of the date and time indicated in the order, you should request USB archives in the Project Archiving section.

These types of certificates come by default with our USB drives and are signed by our legal representative. The recipients of the USB flash drives receive these certificates as a legal guarantee that the files provided on the USB flash drives correspond to the reality of the project according to the exact time of the request.
