Track engagement in your project and understand user behavior effectively

The Engagement matrix consolidates insights into one comprehensive report to provide clarity on user interactions, access frequency, and identify active users and popular files.

Key features

Customizable time period

Administrators can set the timeframe for which they wish to view engagement metrics, providing flexibility in analyzing user behavior over specific intervals.

Engagement levels

The matrix provides insights into engagement levels categorized by files, folders, groups, and users, enabling administrators to identify areas of high activity and user interest.

Action metrics

Users can track the number of actions performed on each file or folder, including views, downloads, and prints, allowing for detailed analysis of user interactions.

Folder insights

The matrix also presents the number of files contained within each folder, offering additional context on file organization and access patterns.

Access

The matrix can also show what exact access a group has to a specific folder. This is displayed as ‘None’ within the matrix to illustrate there is no access. This adds the additional benefit of the tool: it can be used to track access levels to the exact folder.

Using the engagement matrix

Period

Edit the period by clicking the dropdown in the top-left corner of the Engagement matrix. Here you can select the period covered by the report. You can customize your period by clicking dates or use one of the shortcut options along the bottom of the calendar, these are:

  • Past week

  • Past month

Once selected, this will be displayed in the period dropdown and can be removed or edited by clicking the period again.

By users and groups

The default view for this report is by Users and groups.

If no groups or users are selected from the checkboxes on the left side, the default is to give a report across all participants in the project. This will show you on the left how engaged they are with folders.

💡 To find out how engaged specific participants are with your project, select individual users and groups from the left side of the report.

The actions displayed on the right will be found in our standard breakdown of engagement. This is:

  • Number of printed items.

  • Number of downloaded items.

  • Number of views.

  • Total interactions.

  • Number of files within the folder.

For even more insight, hover over any action to see exactly how many users are engaged with that folder.

The default view is to view engagement by folder; however, click the folder icon in the top to switch to view By files.

Switching to view activity by file allows admins to get granular information about important files and find exactly which groups and users are fully engaged with the project.

By files and folders

To access the files and folders view, press the By documents button found on the left side of the matrix.

This then switches how the matrix approaches the data. Similar to when viewing engagement by users and groups, you have the option to select specific files and folders to get detailed insights into who has been engaged with what files and folders within your project.

The option to Include subitems is found above this list and will help administrators navigate through a large project index.

Exporting report

As with all reports, administrators can Export the report.

There are 2 options:

  • Download report: an Excel download to your personal computer.

  • Email report: send the report to any project participant.

Subscribing to report

Once you have set up your report (either selecting by documents or by groups), click the Subscribe button. Just like the other subscriptions, you can edit name, frequency of report delivery, reporting period, and when to start sending the report.

For ease of use, you will also find the report details on the right of this screen. So you can make sure the report is configured exactly how you need.
