Downloading documents

How to download original, PDF or encrypted files one by one or in bulk

💡 Availability of download options depend on the user's document permissions.

Downloading selected documents

To download single or multiple documents, select them in the documents list and either:

  • Click Download in the top panel.

  • Right-click on any of the selected documents and choose Download from the context menu.

Downloading documents in bulk

To download all project documents, select a root folder (project name) in the document tree, and click Download on the top panel.

If multiple files and folders are selected, they will be downloaded in a ZIP archive. Our system will check for long document paths and provide handling options if needed.

ℹ️ This only applies to Windows OS users.

If long paths are detected, you will be presented with the following options to proceed with the download:

  • Truncate names (default when index removal is insufficient): shortens file names while keeping folder structures intact.

  • Keep original names: retains all file and folder names, except for files exceeding 255 characters, which will be truncated to ensure the archive is accessible.

Available download options

Depending on a user's role and document permissions, files may be downloaded in various formats, and the list of available options can differ per individual user.

  • Encrypted: protected version of the file, requiring user authorization. When you choose to download in the format of encrypted files:

  • PDF: original version of the file is converted to a PDF version protected with watermarks.

  • Original: document is downloaded in the original format.

  • Unredacted: additional option for redacted documents, available to project administrators only.

Different permissions on download

It may occur that a participant selects to download multiple documents, but they have lower permissions for some of them compared to what is selected. If they have Manage, Upload, and Original permission, then the original file will be in the archive. For all other permissions, a URL file is downloaded that links to the file online. However, if the file is a PDF or an encrypted document (like XLSX, DOCX, or PPTX), a converted copy is provided instead – if possible.

Downloading while viewing a document

Downloading a file is also possible in the online view mode with the same options as available in the documents tab.
