Notes to files and folders

Learn about available types of notes and their visibility to other users

In the project, there are three types of notes available to different types of users based on their level of access:

  • Private note: can be added by any user and is available to the author only.

  • Public note: can be added by administrators only and is visible to all users.

  • Group note: can be posted by all participants except viewing users and is only available to the participants of the author's group.

Adding notes

To add a note, select the folder/file or simple hover on it in the list and click the plus icon in the Notes column.

Alternatively, right-click the document, select Add from the context menu, and then click Note.

In the appeared pop-over, select the note type, enter the text of the note, and click Add.

Users will see a pop-up window with the added note when they open the document.

💡 The note pops up when the file is being opened and also when the participant clicks the number icon in the Notes column in the Documents section.

Managing notes

To edit or delete a note on a selected document, click the number in the Notes column, and click the three dots to select the relevant option.

Reviewing all available notes

Notes have a standalone folder in the left navigation panel under Documents. It consolidates all available notes in one easily accessible location. This ensures that users can quickly refer to and manage notes without needing to navigate through various documents or folders, promoting efficiency and productivity.

This also allows for the following capabilities:

  • Search

  • Filter

  • Edit notes

  • Delete notes

  • Export all available notes to an XLSX file

💡 An administrator cannot see and export other users' private notes, as well as group notes of other user groups.

ℹ️ We also recommend using the Q&A module to streamline project-related communication between administrators and user groups, ensuring all interactions are organized and easily accessible.
