How to change permissions to files of the specific type in bulk

While managing document permissions, it may be necessary to apply different permission levels not only to folders but particular file types within various folders.
For example, you need to allow users only to view all PDF files online but allow downloading original Excel files across all project folders. Instead of going through each folder and setting specific permissions to each such file, you can do this in bulk:

  • Go to the Settings menu and select Permissions by file type.

ℹ️ Document permissions are set on the user group level. To proceed with the setup of permissions by file types, there must be at least one user group created in the data room except for project administrators.

  • Select the required file types.
    The counter under this field will show how many files of the selected types are currently present in your project.

  • Select the level of permission for the specified file types.
    By default, access to not permitted files will not be changed. But you can allow it by checking the option "Apply to files with currently None permission".

  • Choose the user groups for which you'd like to change the permissions.

  • Click Apply.

Please keep in mind that permissions by file type will be applied only to existing files in the data room. All newly uploaded files will inherit permissions from their parent folders, and you might need to update users' document permissions again. Permissions to files in the "Q&A attachments" folder will not be affected.

You will also be additionally notified in the following cases:

  • If any file of the selected type is located in the folder with the None permission, access to its parent folders will be changed to View. The permission level for other file types within such folders will not be changed.

  • Files located in folders with Upload permission will be skipped as they have the highest possible permission level. If you'd like to lower permissions to such files, first, you need to change the permission to their parent folder in the Permissions window to at least "Download original".
