Project closure

How to close a project or schedule its automatic closure for a specific date

Administrators can close the project or schedule its closure by navigating on the left panel to Settings –> Project –> General. On this page, go to the Closure section.

💡 Administrators can also close the project by going to Project archiving.

Immediate and scheduled closure

To close or schedule closure, click Close project.

Alternatively, click the status dropdown and select the Closed status.

Choose whether you want to close the project Now or Later:

  • Now: the project will be closed immediately for all project participants, including administrators.

  • Later: you can schedule automatic project closure on a specified date and time.

You can also check the option to order a USB archive if this hasn't been done before closure.

Editing or canceling scheduled closure

The scheduled closure will be saved and available for editing or cancellation on the same page, any time before the closure date.

As soon as the project is closed, an email confirmation will be sent to all project administrators. This email will also contain a link to create an offline backup, in case you require it later.

Data retention policy

Upon project closure, all relevant documents will be stored on our servers according to the applicable retention period. Project data may be erased earlier if the project administrator submits a request via email.

  • For clients whose agreements begin on or after July 1, 2025:
    Project documents will be retained for 90 days following corporate account closure.

  • For clients whose agreements began before July 1, 2025:
    Project documents will be retained for 3 years following corporate account closure, unless an earlier deletion is requested.

💡 The data retention period begins upon corporate account closure. An account is automatically closed when there are no active projects and the subscription term has ended.
