Available options when viewing documents online

To view a file from your project inside your browser, just click on it. The file opens in a new tab where it's available for viewing.

💡 This article only corresponds to documents online. For any information pertaining to video files and how to view them, head to the Supported file types article.



PDF viewer

Top toolbar

With our PDF viewer, you'll find the following tools in the top toolbar:

  • Fence view

  • Print

  • Download

💡 Availability of these actions depends on the user's document permissions.

Fence view

Toggle fence view with the icon in the top toolbar. Simply click the icon and drag your cursor over the area to view.

Download

Download allows the downloading of the document according to the participants' permissions.

The following options are available

  • Download the PDF but in an encrypted format.

  • Download a PDF of the file.

  • Download the original version of the PDF.

Print

Selecting Print from the top toolbar will produce the standard print modal.

Available controls

Controls for the PDF viewer are found in the floating panel.

These settings are as follows:

  • Settings of the interface

  • Zoom in and out

  • Zoom by percentage dropdown

  • Page width button

  • Page to fit button

  • Page transition

  • Layout

  • Rotation

💡 Page numbers: a separate toolbar for page navigation is displayed.

You can drag and drop the toolbars to different positions on the page.

Interface settings

To access the panel settings, click the settings gear icon on the left side of the toolbar. Here, you can select which panels you would like to hide and the behavior regarding when the user interface (UI) elements appear. Your options are:

  • Show UI element with a press of the relevant key, depending on your operating system.

  • Show UI element when the cursor gets near.

💡 While in Settings, clicking the gear icon toggles the option to hide UI elements and reveals a modal to choose your setting.

💡 To exit Settings, simply click anywhere on your screen.

Zoom

With our different zoom control options, you can customize the zoom level to your liking. Use the magnifying icons in the controls or the percentage dropdown. You can scroll through the options, type the value required, or even use your mouse to control the zoom.

💡 Page width and Fit to page options are marked within the zoom percentage dropdown with their relevant icons.

💡 Key information about zoom

  • Fit to width fits the document perfectly within your viewing window.

  • Fit to page fits the entire page within your viewing window.

  • Zoom range offers levels ranging from 30% to 1200%.

  • +/- keys on your keyboard also zoom in or out.

Rotation

You can click the icon to start rotating pages. Rotate pages panel is displayed on the left.

Rotate your PDF 90 degrees clockwise by selecting one of the two options:

  • Rotate the currently viewed page (for double-page view, both pages are rotated).

  • Rotate the currently viewed page and all the following pages.

💡 You can rotate pages individually or choose a starting page to rotate all subsequent pages.

Page transition

You have the flexibility to select between two different page transition options.

  • Page by page allows you to navigate through the document one page at a time.

  • Continuous provides the document a smooth and uninterrupted scrolling experience.

Layout

Tailor the PDF's appearance by choosing one of the following layouts:

  • Single-page: View one page at a time for a focused examination

  • Double-page: Display two pages side by side for improved context

Search

Document search allows you to search through a document to find specific content.

Search parameters

You can adjust the query so it matches your chosen parameters. These are:

  • Exact phrase

  • Case sensitive

Scroll through the results displayed in the viewer using the toggle arrows above the results. The highlighting is visible only when search mode is on:

  • Orange for selected

  • Yellow for non-selected

Grouping search results

You can select three different options using the grouping dropdown menu in the top-right corner of the results panel. This allows participants to get more specific with their queries and flick between the results effortlessly, as less relevant results can be hidden.

  • Group by page does exactly this: it groups your results by the page upon which it was found.

  • Group by match gathers these specific results by the exact state of the search result.

  • No grouping lists the results without grouping them.

Expanding search results

You can select options for expanding and collapsing results, with automatic actions also selectable) making the search results more streamlined for review.

Copying

Users with PDF permission and above can copy document text directly from the viewer.

To copy text:

  • Highlight the text.

  • Right-click on the selection and choose Copy, or use the keyboard shortcut Ctrl + C (Windows) / Cmd + C (Mac).

Dark and light mode

The switcher for dark and light mode can be found in the top-right corner of the viewer. Simply press it and the whole interface will alter to the selected mode.

Navigation panel

To access the Navigation panel, click the icon in the top-left corner of the screen.

This expands three options:

  • Contents list view

  • Page view

  • Annotations and links view

Contents list view

This view allows you to click through the list of contents page by page within your PDF.

Page view

This view gives you the visual representation of your document listed page by page. You will also see additional tooltips highlighting your search results in this view to help participants navigate the viewer and find results faster.

  • The document page view is the default view.

  • You can click the page to navigate to it.

  • The current view is highlighted in green. You can drag the area indicator to scroll the document.

  • Page number is displayed next to the page thumbnail.

  • For any page where elements exist, you can hover over the element icon and see what the elements are.

Annotations and links view

This view allows participants to view any annotations and links within the document.

💡 Using the Filter option, participants can filter by key word or checking and unchecking the relevant option, either Annotations or Links, focusing the panel listings to what's more relevant.

With each link, participants can also open them from within the PDF viewer.

To hide the panel, press the ✕ button.

Excel viewer

Excel files can be viewed with or without formulas, depending on the permissions.

Search

For Excel viewer search, the behavior is almost identical, with a few small differences. When search mode is initiated, participants have three main filters:

  • Sheet: searches the active sheet.

  • Range: searches the range selected by the participant.

  • Book: searches the entire Excel file.

The sheet and range modes do not have grouping, and the results are listed. The book mode has grouping by sheets by default, and no regrouping is possible.

Available controls

Excel files can be viewed with or without formulas, depending on the permissions.

In Excel viewer, the zoom setting is located at the top. Unlike PDF viewer, there is no toolbar and you cannot hide UI elements.
