Generate an archive with your project contents and share it with other participants

Alternatively to a USB archive order, you can create a downloadable archive with the project contents. Our system will generate a ZIP archive protected with a strong password, and it will be available for download to you and selected project participants for 30 days.

ℹ️ Downloadable archives can only be created for active projects.

To create an archive, go to the Project archiving tab. In this menu, navigate to the Downloadable archive section and click Create archive.

Archive contents

There are 3 available options: Documents and reports, Only documents, and Custom.

💡 Project index is included in all archives by default, and contains the list of documents corresponding to the selected option.

Documents and reports

By default, this archive type includes all project documents and additional reports on permissions, activity log, and participants.

Optionally, you can include the recycle bin contents, and Q&A discussions and attachments.

ℹ️ Recycle bin is available only if it is not empty. And Q&A contents are available only for projects with enabled and set up Q&A.

Only documents

By default, this archive type includes all project documents without additional reports.

Optionally, you can include recycle bin contents.

ℹ️ Recycle bin is available only if it is not empty.

Custom

This option allows you to select what documents and reports should be included in the archive. There are 3 options:

Available to user group

  • Only documents that are permitted to the selected user group.

ℹ️ ​The list contains both active and deactivated user groups. Deleted groups, administrator and custom groups are not available. Learn more about user roles.

  • Optionally, additional reports and data: activity log, user list, permissions, and Q&A discussions and attachments.

You can also preview the list of available documents for the selected group.

Selected folders

  • Specific folders that should be included in the archive.

  • Optionally, additional reports and data: user list, recycle bin, and Q&A discussions and attachments.

All documents

  • All project documents are included.

  • Optionally, additional reports and data: activity log, user list, permissions, recycle bin, and Q&A discussions and attachments.

💡 All reports contain the data only on the selected group or folders. If there is at least one document with the applied redactions in the project, you can select whether to show or hide the redacted content.

Recipients

In the recipients' dropdown, select project participants with whom you would like to share this archive. Once the archive is ready, each recipient will get an email with the link to the Archives page, where they can download the archive and copy its password.

💡 Keep in mind that only invited participants can access the page to download the archive. All available archive orders can be found on the Archives page.

Generating archive

As soon as you define the archive contents and recipients, click Create.

Your archive request will be added to the system queue for processing. The generation of the archive usually takes up to an hour, but can take longer depending on your project size.

Upon completion, you will get an email confirmation. If you missed the email, you can always check the status in the project archiving tab or on the Archives page, where you can find all your orders across multiple projects.

Long paths

In case the project contains documents with long paths (over 260 symbols), you will get a confirmation modal asking how to proceed.

To ensure that recipients can successfully work with the archive on Windows OS, you will need to decide how to export such documents:

  • Keep original paths: only document names exceeding 255 characters will be shortened, while the project structure remains intact. For managing these archives, we recommend tools like 7-Zip, NanaZip, or WinRAR.

  • Truncate long paths: shortens document names so that paths do not exceed 200 characters, allowing working with these archives without additional tools.

Downloading archive

Once the archive is created, you will find a download button and password on its card. The password is also shared in the confirmation email for quick access without a need to sign in to your account.

💡 Keep in mind that the archive is available for download for 30 days since its creation date. You can track how many days are left by the status.

Besides the archive itself, you can also download a comfort letter confirming its contents and checksum.

Revoking access to archive

In case the archive was mistakenly created or shared with the wrong recipients, project administrators can edit its recipients.

  • Go to Project archiving of the given project or the Archives page across all projects.

  • In the corresponding archive card, click Edit next to Recipients.

  • Remove corresponding recipients from the list.

  • Click Save.

ℹ️ Order submitter is a default recipient and cannot be removed.

Archive statuses

There are 3 available statuses to help you track your orders:

  • Preparing: as soon as the order for archive creation is placed.

  • Available till: once archive is ready for download, it is available for 30 days.

  • Expired: the archive is no longer available for download. Yet, you can still find its password if needed.
