How to upload, manage, and track document versions

💡The current document version is the only one that counts toward your overall storage — previous versions are stored at no extra charge.

Document versioning is enabled by default. Project administrators can disable it in the Documents tab within Project settings.

Upload new versions

Our system supports document versioning for the following file formats:

PDF | TXT | DOC | DOCX | XLS | CSV | XLSX | XLSM | PPT | PPTX | RTF | HTM | HTML | XML | JPG | JPEG | JPE | GIF | BMP | PNG | SVG | TIF | TIFF | DWG

To upload a new version:

  1. Right-click on the document you want to update

  2. Select Add new version from the context menu

  3. Choose the new document from your local device and proceed with the upload

Once a new version is added, a visual indicator showing the number of all associated versions will appear next to the document.

You can upload up to 50 versions to a document.

💡 Only administrators and participants with Manage permissions can upload, view, download and restore document versions.

View version history

You can easily track version history by clicking the version counter icon next to a document. Here, you’ll see the complete version history, including:

  • Author

  • Date of upload

  • File size

💡 Participants with Upload and lower permissions can only access the current version and won’t be able to view previous versions.

Manage versions

To manage document versions, open the Version history mode by clicking the version indicator icon next to a document. Select a version and click ... to open a context menu where you can perform the following actions:

  • View

  • Download

  • Make current (You can revert to an earlier version anytime by selecting this option)

  • Delete (Versions deleted from the history mode cannot be restored)

💡Only administrators and participants with Manage permission can delete previous versions.

Current version cannot be deleted from the Version history mode. If you want to delete the current version, exit the Version history mode and delete the document. If you decide to restore the document from the Recycle bin, all associated versions will be restored.

Track changes

An automatic audit trail captures all version changes. You can track these changes using the Activity log report and applying the following action filters:

  • New version adding

  • Version deletion

  • Previous version restoring

Notifications

You will be notified about newly uploaded versions according to your email notifications preferences.

Document versioning enhances your document management by offering flexibility, full control over version history, and efficient storage management without extra charges. This ensures seamless collaboration and increased transparency, making it easier to maintain up-to-date, accurate documents within your project.
