Overview
The Staging Hub is where all staging rooms are housed. Staging rooms are where advisory and sell-side can collect documents safely and securely. Once all documents have been collected, administrators can then move all relevant items to the due diligence VDR, ready for when the deal has started.
Why use a staging room?
Fast access and unlimited usage. Easy to open without a middleman (IT or Salesperson) and can be used as long as needed.
A safe place for documents collection and sharing. Only the sell-side team participates reducing risks of sharing sensitive data with another party.
Easy progress tracking. The Info request list (IRL) always has up-to-date preparation status and located right next to documents.
Smooth transition to the start of the deal. Fast and smooth transition to the due diligence data room.
Transfers in real-time. Files are ready for viewing right after copying them to the target room.
The easiest way to think about a staging room is to imagine a simplified version of our data rooms purely designed to aid the preparation of your deal.
Projects dashboard
Staging Hub tab
A new tab will appear on the projects dashboard called staging rooms once you have added your first staging room.
You will find your staging rooms, both active and closed, and all their corresponding project statistics:
Storage – the amount of the used storage used by the staging room as of the end of the previous day
Users – number of users invited to the staging room
Info request list shortcut – fast access to the IRL right from the dashboard
💡 You will need to be a corporate account administrator with the Staging Hub option within your subscription.
To add a new staging room:
First press the Create new staging room button
Then specify the staging room name
Then select the server
Press Create to proceed
What features will I find in the staging room?
Documents. This section has all the features of the regular data room from the administrator’s perspective.
Information request list. Allows users to upload an information request list and track the progress of deal preparation.
Team. Enables user management of the staging room.
Usage report. Allows admins to understand current storage consumption.
Settings. Basic project and personal notification settings.
Recycle bin. A standard recycle bin functionality for your documents.
How to use Documents in the Staging Hub
You are able to organize your folders and documents with the new capability of the Documents section:
Customizable layout and table columns
Possibility to review all notes in one place
Quick access section
Possibility to copy documents across projects
Copying into your projects
When you have finished preparing your file and folder structure, easily populate your desired VDR ready for due diligence:
Select any documents you want to transfer
Select the destination project
And your documents are copied, ready to be viewed
💡 To copy to a new project, simply select + Create new project from the dropdown options.
Notes in a staging room
Tag any participants inside a staging room within a note pinned to a file or folder.
💡Tagging relevant team members, helps users ensure the right individuals are aware of important updates or decisions, enabling them to promptly react once they receive an email notification.
How to use the Information Request List section
💡 Information request lists (IRL) are used to track your preparation progress.
Actions you can perform here:
Upload a new IRL (only xlsx files are allowed). This file is viewable once uploaded
View IRL an already uploaded IRL
Edit IRL with our integrated on-page viewer
Download the IRL back in xlsx format (keeping all changes made)
Upload a new IRL replacing the previous file
Delete the IRL
What can I do in Edit mode of the on-page viewer?
Our integrated on-page-viewer has the following capabilities:
Editing text
Changing text styles
Adding links
Changing cell format (number/text/date)
Resizing columns and rows
Copying and pasting content
Adding and deleting new columns and rows
💡 Top tips you need to know
Our editor has no version control and can't restore previous versions if deleted
Your uploaded IRL file is not shown in the document section
There is no support for parallel and simultaneous editing
How to use Participants
In the Participants section:
All users invited to the staging room obtain the administrator role and have the same access level inside it.
All users can perform any changes inside the staging room with documents, users, settings, and the IRL.
All invited users are shown in the table with the following information:
Full name
Email
Role - Owner or administrator
Last login date
💡Owners are defined as the user who created the staging room. They can not be deleted from the staging room.
Reports
The staging room currently has two types of reports:
Usage report
Activity log
Usage report
The Usage report illustrates consumed storage over a specified period. Use the calendar to select the relevant period and the radio buttons to choose your storage unit of measurement. You can select:

Once selected, the graph will display a line graph of activity.
Activity log
The Activity log allows participants to track all the activities that have taken place inside the staging room. It is possible to filter by period of time, action type, and author to find detailed activity and track progress.
💡 This is useful for finding areas where you can speed up your preparation for entry into your product.
How to adjust staging room Settings
The staging room has the following project settings.
General settings allows the following adjustments:
Edit staging room name
Edit staging room link
Enable or disable auto indexing of files
Viewing your server location
Close staging room
Branding settings allows you to update the project logo and the color theme.
Labels settings allows editing the label groups and label values.
Recycle bin
The section shows all files deleted from the staging room documents section. Here you can permanently delete or restore files as you need. You can also Empty recycle bin to permanently remove all files.
💡 It is worth remembering that all files in the Recycle bin will still affect your storage until they are permanently deleted.
