Project locking

Learn how to lock your project and prevent content changes for all its participants while keeping access to it

Project locking provides an additional level of security and control, allowing administrators to prevent any further modifications while keeping documents accessible for viewing. This ensures data integrity, security, and consistency, which is especially valuable in scenarios like legal review, archive preparation and deal closure. Additionally, the confirmation of locking provides a clear record of when the project was locked, helping with compliance and dispute resolution. By eliminating the need for workarounds, project locking enhances control and transparency for all stakeholders.

Locking the project

Project administrators can lock the project in SettingsGeneral.

  • Navigate to the Locking block.

  • Click Lock project.

    Alternatively, click the status dropdown and select the Locked status.

  • Under Unlock rights, select administrators who should be able to unlock the project.

  • Confirm and lock the project.

As soon as the project is locked:

  • Document uploads, deletions, renaming, moving, copying, and other structural changes are disabled. However, viewing and downloading documents remain available to all participants based on their document permissions.

  • Only authorized administrators can unlock the project. The administrator who initiates the locking is selected by default, but can be removed if required, and/or other administrators added.

  • An email confirmation is sent to all project administrators with the attached confirmation of locking and project index as of the time of locking. Confirmation of locking is also made available for download in the project settings at any time.

  • Non-admin participants do not receive any email notifications about locking. Upon entering the locked project, they will see a message informing them that the project has been locked.

  • Administrators can still request a downloadable archive for sharing, order a USB archive, and close the project.

ℹ️ If you order a USB archive or request a comfort letter for a downloadable archive, the project will be locked for data integrity if it hasn’t been locked already. This ensures that the archived version remains a true and final record of the project.

Unlocking the project

Authorized project administrators can unlock the project in SettingsGeneral.

  • Navigate to the Locking block.

  • Click Unlock project.
    Alternatively, click the status dropdown and select the Live status.

  • Confirm and unlock the project.

Upon unlocking the project, an email notification is sent to all administrators.

ℹ️ The button is not available if:

  • Administrator doesn't have unlock rights, and they will see a corresponding message.

  • There are pending archive orders that require project locking for data integrity.
