Corporate account: Project template

Define default settings for all projects created under your corporate account

Corporate account can be accessed on the left-side panel – Corporate account.

You can configure default settings for all newly created projects under your corporate account in the Settings tab – Project template. You no longer need to manually set up each new project to align with the company's branding or security policies – pre-defined settings will be automatically applied to each new project, regardless of who created it.

ℹ️ Settings change is available with the Enterprise subscription only.

General

In the general settings, you can define:

  • Support access: authorize Ideals team to access your projects for assistance purposes. Disabled by default.

  • Storage locations: select allowed locations that will be available during new project creation under your corporate account. All locations are available by default.

Branding

In the branding settings, you can:

  • Upload logo and login page background.

  • Set a theme color.

ℹ️ We keep working on adding more features that can be pre-set on the corporate account level for all its projects: watermarks, labels, terms of use, and many more.

Labels

In this tab, you can add document labels:

  • Group: used to categorize label values by groups.

  • Type for the label groups:

    • Single: allows assigning a single label within one label group.

    • Multiple: allows assigning multiple label values created within one label group.

  • Value: label name listed in the corresponding label group.

Terms of use

In this tab, you can create as many terms as needed, and all of them will be automatically created in each new project. For each terms of use, you can:

  • Select predefined or enter a custom title.

  • Decide when to display terms of use.

  • Enter terms content with personalized tags and required formatting.

💡 By default, terms are applied to all groups in the project, and you can have only one active terms per group at a time. To specify different groups for each of the created terms, proceed to the project settings.

Watermarks

You can adjust the following watermark settings:

  • Actions with documents when the watermark should be displayed.

  • The appearance of the watermark: color, opacity, and position.

  • User details which should be included in the watermark when they access documents. You can also add any custom text in addition or instead of default options.

Participants

Corporate account owners and managers can streamline project management by automatically pre-listing designated users as project administrators.

Project administrators

Each time a new project linked to your corporate account is created, a predefined set of administrators will be assigned instantly, ensuring that key personnel always have the necessary permissions from the outset.

To add default administrators, just click Add project administrators or Add on the top of the list.

  • Enter email addresses.

  • Click Add to confirm.

💡 You can add up to 10 default administrators to the project template.

Before finalizing the project creation, there is an option to review and edit the admin list, providing flexibility and control while maintaining efficiency. If any default administrator emails are removed, a warning message appears listing the affected emails, allowing users to quickly re-add them if necessary.

To delete any of the project administrators, click the Delete icon presented inline with each administrator.

Groups

This feature allows you to automatically create a custom set of groups with predefined role settings each time a project is created.

💡 Role settings define feature permissions. Learn more about available roles.

To create a new default group, click Create on the top of the list.

💡 One administrator group is present by default and cannot be deleted – it is a group to which project administrators are added upon creating a new project.

  • Enter one or more group names if you'd like to create multiple groups with the same role settings.

  • Select the role: User, Custom, or Administrator.

  • Review and adjust feature permissions as needed.

  • Click Create.

Security

In security settings, you can set:

  • 2-step verification: require all users to verify their identity with the second factor before entering the project.

  • Email verification: require users to enter a one-time code sent to their email to confirm they have access to it. When enabled, you can also add exceptions as trusted emails and domains that should not be asked for email verification.
