Q&A attachments

How to attach documents to questions and answers, and who can access and delete them

There are two available options to add documents to the Q&A message in the formatting toolbar:

  • Attach files: allows uploading external documents from the user’s computer.

  • Link project documents: allows inserting a link to an existing file or folder in the project.

Linking project documents

Q&A participants can link an existing project document related to their question or answer. This attachment will be available to other participants of the Q&A thread only according to their document permissions. If a user's permissions do not allow viewing a given document in the project, they will not be able to access it.

Attaching external documents

All external files attached to the question thread will appear in the Q&A attachments folder in the Documents tab.

💡 Users can see only the documents attached to the Q&A threads available to them.

Permissions for attached files are managed by project administrators in Permissions – Q&A attachments.

By default, all Q&A users have the View permission for attachments in threads they participate in, and answer coordinators have full access to all attached files.

💡 The user who attached the file will always be able to download the original file, regardless of their permissions to Q&A attachments.

If a user's access to Q&A has been revoked, the Q&A attachments folder will no longer be visible to such user.

Deleting Q&A attachments

The possibility to delete attachments depends on the Q&A role.

Question drafter / Question submitter

On the question side, drafters and submitters can delete attachments by editing proposed questions before submitting them.

Answer coordinator

As soon as the question is submitted to the answer side, only answer coordinators can delete attachments. They can delete attachments from any question, answer, or comment. To do so, click the recycle bin icon next to the corresponding attachment.

💡 Answer coordinator must be the project administrator to have the right to delete any attachment.

Upon deletion, attached external files will be moved to recycle bin. Linked project documents will be unlinked from a message but remain in the project structure.

If the Answer coordinator is not a project administrator, then they can delete attachments only by editing submitted answers.
